Summary:
The Administrative Assistant must be well organized, able to handle multiple tasks, and work independently. The individual will provide administrative support for the Corporate Underwriting department. This position is also responsible for communicating and behaving in a way that supports diversity and equality among coworkers and colleagues.
Duties & Responsibilities include, but are not limited to:
- Responsible for organizing elements of the underwriting contract process, including preparing billing sheets, account reporting, and following up to ensure that contracts are fulfilled.
- Scheduling and maintenance of all elements of Underwriting Contracts in the station program scheduling software, ProTrack
- Proof daily broadcast logs and prepare affidavits.
- Monitor and route written and telephone communications to the appropriate department.
- Maintain assigned reports, spreadsheets and logs pertaining to the Corporate Support staff.
- Assist with the in-house editing process for on-air spots by coordinating location shoots, collecting graphics, getting script approval, and completing necessary paperwork.
- Assist with prospecting for new clients, including entering prospect data into contact database and making cold calls and scheduling meetings for sale personnel.
- Assist with the development and distribution of marketing materials to include letters, media kits, brochures, and newsletters.
- Stay informed on station activities and cooperate with all departments.
- Communicate and behave in a way that is free from discrimination, intolerance or harassment when interacting with co-workers, colleagues and clients.
- Other reasonable related duties as assigned by the Director of Corporate Support.
Qualifications:
- Strong organizational, communication and computer skills required.
- Prior office administration experience.
- Must be proficient in word processing.
- Spreadsheet and database experience necessary.
- Knowledge of ProTrack, Team Approach, Oracle, Filemaker and Microsoft Access a plus.
- Must be able to handle details and work in a multi task environment.
- Must have good interpersonal and communication skills.
